OK sorry for this very long post but I wanted to give all relevant information to hopefully get some answers.

Ok this problem seems to be the opposite of the problem dealt with in this old thread.

I told you about hubby's failed laptop, it was used solely for a clients accounts and he'd had it a few years.
Last week they told him to get another one, he didn't want anything fancy so we just got a basic one that had a large HD.

I set it up under his Microsoft account and installed Thunderbird as his email program, I use that, he was happy with it as he only has 2 email accounts, Hotmail and BT Internet, he wouldn't want a Microsoft account if he could get away with it.

Installed the Payroll system he uses, Malwarebytes Premium and the machine is fully up to date, running Windows 10 2004 and Edge browser plus Defender. Microsoft 365 is under my name but is shared with him as he needs Excel, which is where the problem is.
He has a 6 foot long trestle table as his workspace, at one end is his desktop pc which is connected to the router via Ethernet cable that goes through the wall into the next room. In the middle sits his printer which he has set up to only connect via USB cable so he can take the cable out from his desktop and plug into the laptop which connects via wireless for Internet and is on the other side of the printer.
Excel is pinned to the taskbar, the problem is that whenever he works on Excel on his desktop it also shows on his laptop. He doesn’t want that to happen as the laptop is just for his clients accounts so he doesn’t want it to show the record he has to keep of his blood sugars and if he tries to delete it on the laptop it deletes it on the desktop, plus the laptop is showing other things he has in Excel on the desktop and he wants it to stop.
I’ve made the laptop undiscoverable in the network so it can’t be seen by the other machines in the house and thought I’d stopped any sharing to it but it is still showing this morning even though after making the changes it has been completely shut down and unplugged and rebooted fresh this morning.
Anyone got any simple ideas for me to try next so it stops happening.

Maybe the steps for how to share an excel file will help you to 'un-share' one.

It may be a couple of days before I can get back to you as hubby is busy using his pc so I can't get to them at the moment.

I was unable to find any solution to stop the Recent Files list for Office 365 applications from appearing on all computers using the same Microsoft account. I found a forum thread where someone was asking the same question, but there was no solution.
The best that I can offer is to disable the recent files list on both the laptop and the desktop for his account. This article explains how -- https://www.wikihow.com/Disable-or-Delete-Recent-Document-List-in-Microsoft-Word-or-Excel
Note that the first step is for an older version of Office and has you click the Office icon. You'll find Options under "File" in the menu bar.

Thank you Stephen I'll have a look at that one and I'll be back when I've had the chance to test things out.

Just thought of something, if I put the solution you found into play Stephen would he still be able to save files on the individual machines?

He has his blood sugar records on his desktop machine and has to keep the daily record up to date for himself and the doctors when they need to know if his medication is working so at present Excel is set to Autosave or he'll just click save so at the end of the day he has an up-to-date record.
The machines are shut down each night and unplugged, each morning plugged in and turned on and when he's ready he brings up his blood sugar file in Excel and it's all there so he can start to record that days readings.

Do you know if that will still happen?

This is his problem, he doesn't want them showing on the laptop as that is just for his clients accounts, payroll and returns with the HMRC and his blood sugars etc. are for his records on the desktop.

Yes, he would be able to save files without a problem. It only prevents the recent files list from being populated -- so that there are no recent files to sync.

The caveat is that there will be no list of recent files on either machine. If he used that list to access commonly used files, he may want to create shortcuts to those files and pin them to the desktop or taskbar.

For example, on his desktop PC, create a shortcut to the blood sugar file so that it opens in Excel when he clicks it rather than opening Excel and going to the recent files list to open the blood sugar file. On the laptop, to access client files, he'd either need to browse to the file locations using File/Open or have shortcuts to most used files.

He told me that he only uses the taskbar link to Excel when he wants to create a new book, when he wants to open a file that he has create in Excel he clicks on the File Explorer icon on the taskbar and opens the one he wants from there.

He never does anything easy.

:-) Actually, if he typically opens Explorer to open an existing file the shortcut to file idea saves a single step, so he's doing fine. I typically do the same, but a few most often used files are shortcuts on my desktop. I never use the file history in the Office applications, hence the reason I had no clue that they were synchronizing to all of my systems!
